📚 Tilburg University is seeking a TEMPORARY MANAGEMENT OFFICE ASSISTANT for the Secretary of Tilburg Law School within the Department of Public Law & Governance.
Due to changes, understaffing, and sick leave, our client requires a short-term temporary replacement.
DEADLINE FOR APPLICATIONS & WORK CONDITIONS

Start date: January 26th, 2026.
End date: April 30th, 2026.
Possibility of renewals: Contract renewals will be for a maximum of 6 months. On a weekly or bi-weekly basis, renewals will be assessed. Maximum contract extension until October 31st, 2026.
Contract hours: 32 or 40 hours per week.
Location: Tilburg University Campus, the Netherlands.

You will join the University Services & Schools Management Support team, part of the Facility Services Division. They are responsible for coordinating management support for training, knowledge sharing, process standardisation and HR matters.
This means that you will be part of the Facility Services Division, which provides Facility, Procurement, Cleaning, Catering, Security & Property Services for the entire Tilburg University Campus.
Furthermore, this Division advises and determines policies, which directly impact all the said services, and therefore, all the academic community and staff, including the Executive Board and special guests.
This is an ideal opportunity if you are interested in working in a legal academic work environment, while working together with legal researchers and supporting the department's needs, such as general requests, administrative tasks for events, meetings and business trips, onboarding new team members, processing financial documents, among others.

ABOUT THIS ASSIGNMENT & RESPONSIBILITIES
You will functionally report to a Manager within the Department of Public Law & Governance, while you will report technically to the University Services & Schools Management Support Division.
General secretarial and administrative duties such as phone, email, archiving, ordering office and IT supplies, catering for events, etc.
General Facility Services-related tasks, including dishwasher, floor plans, business cards, maintaining workspaces, and mailboxes.
Answering questions and support requests regarding academic, educational and research topics.
Managing practical preparation for the onboarding of new hirings as well as the offboarding of employees and contractors (e.g. workspace setup, laptop orders, keys, welcome packages)
Ensuring the full travel arrangement and accommodation for business trips of Professors, special guests and the Executive Board (College van Bestuur).
Processing on-time invoices, keeping proper records and controls, and maintaining financial overviews of all expenses.
Organising together with HR, team building activities, staff well-being initiatives, lunches, dinners and drinks.
Supporting meetings and events such as room bookings, catering, receptions and dinners, taking care not only of the details, but also of preparing gifts and welcoming guests for each event or meeting.

MINIMUM REQUIREMENTS
At least a tertiary educational level, such as HBO (higher professional education) level or higher (WO)
At least 5 years of relevant work experience, ideally more than 7 years of experience.
Available to start on 26 January 2026
Available at least 32 hours per week
You work on-site on campus at Tilburg University, at least 4 days per week
You have demonstrable knowledge and experience with Microsoft Office 365 (Excel, Word, PowerPoint, Outlook).
You are service-oriented and accurate
You have strong Dutch communication skills
You have strong English communication skills
You have experience working at a University or an HBO, or similar.
You have experience working at a semi-public organisation, or similar.
